Anna Lotan enters the US market with advantages most brands spend a decade trying to assemble. Forty years of formulation science, two manufacturing facilities, distributors across Europe, and a claim to biomimetic skincare that predates the industry's adoption of the term. It already has the kind of US credibility that cannot be purchased quickly: the Catherine Hinds Institute of Esthetics builds training around the line, and cancer-support nonprofits use the products in patient care. The opportunity is to give that reputation somewhere to land. Today an esthetician who discovers the brand cannot finish opening an account, orders take manual work to reach the books, and qualifying to carry the line means traveling to a training event. Every one of those is fixable, and every fix widens the market: ordering that runs itself, fulfillment that grows without adding people, certification that reaches any licensed professional in the country, and a brand estheticians can actually find when they go looking for it.
Stage 1 reflects the scope outlined on August 9 and is the basis of the separate fee estimate and timeline. Stages 2 and 3 are the longer view discussed on August 3 — recorded here so the sequence is visible, not quoted yet. WooCommerce is retained throughout.
Worth confirming before we quote Stage 1
Replacing QuickBooks with an invoice plugin needs a closer look first. An invoicing plugin generates and sends invoices. QuickBooks is the general ledger — P&L and balance sheet, bank reconciliation, sales tax liability, cost of goods and inventory valuation, receivables aging, and the file their accountant works in at year end. A plugin replaces the first of those and none of the rest.
Three specifics matter here: someone almost certainly does their books in that file and should be part of the decision; wholesale sales to licensed estheticians are typically resale-exempt, which means certificates to collect and exemptions to track; and as a US subsidiary of an Israeli parent, both US filing and upstream reporting depend on real books.
The instinct behind the request is right, though. $3,400 a year is almost certainly not base QuickBooks Online — that figure points to a desktop or enterprise tier, extra seats, payroll, advanced inventory, or a paid sync connector, often several stacked together. And removing QuickBooks would not fix what Barbara described: manual order entry is a broken sync, so eliminating the destination leaves the hole rather than closing it. We audit the actual invoice first. If QuickBooks is genuinely only being used to cut invoices, the plugin route is clean and we will say so. If it is holding the books, we will show exactly what would break.
Where the effort goes
Stage 1 is the current request. Trade press runs in parallel on its own track and can begin immediately. Everything else waits on sequence, not on interest.

- One feed, every source. Everything lands in one place that refreshes on its own.
- Baselines get captured before anything changes. Once registration is repaired and the site gets faster, there is no reconstructing what came before. Capturing it now is what makes every later improvement a measured fact rather than an assertion.
- It answers the social question directly. They are promoting to estheticians on Facebook and Instagram and cannot say what it returns. Once spend, signups, and orders sit together, that stops being a mystery within weeks.
- It informs the build rather than reporting on it. Which products move, which accounts have gone quiet, where applicants abandon registration, what estheticians search for before they arrive. Better known while decisions are being made than discovered afterward.
- The team can ask it questions. Not a dashboard nobody opens — a live data set anyone can query. Best account this year, customers who have not ordered in ninety days, the real cost of acquiring a professional account. Always current, accessible to whoever needs it.

Connecting sources is routine; making them agree with each other is where the work is. Inconsistent SKUs or duplicate customer accounts turn a straightforward join into a cleanup — worth doing regardless, since the assistant and the certification program read from the same records.

- Reconcile the catalog. 327 items in the product list, 132 live on the site. Much of that gap is sizes and sample freebies — the difference should be deliberate rather than accidental.

This was not among the five items requested, and we believe it is the most valuable thing in Stage 1. Every other phase — the assistant, the trade press, the paid work later — assumes a working path from interest to account. Right now that path ends in an error page.
What moves the effort
Whether the break is a broken link or a broken plugin. If the approval flow depends on a membership plugin that is out of date or misconfigured, this becomes a rebuild rather than a repair. We will know within days of getting credentials.

- Audit the $3,400 line by line. Which product, which tier, how many seats, which add-ons, and whether a paid sync connector is in there. This is the fastest concrete win available and it costs almost nothing to establish.
- Establish what QuickBooks is actually used for. If it is cutting invoices, the plugin approach is clean. If it is holding the general ledger, we document what an invoice plugin does not replace and recommend the right-sized alternative instead.
- Map every manual touch. Where an order stops being automatic and someone keys something in. That map defines the rest of the work.
- Fix the sync. Orders, refunds, taxes, fees, and customer records flowing without intervention, with accounts mapped correctly rather than approximately. This is the actual cause of the manual entry Barbara described.

- Find the actual cause rather than the usual suspects. A written report naming what is slow, why, and what fixing each item involves — so the remediation decision is made on evidence.

- Gated behind the professional login. Educational material for estheticians sits behind the same membership system repaired in Phase 1, which is why that phase comes first.

- The institutional adoption is the story, not the product. The Catherine Hinds Institute of Esthetics has built training around the line and backs it directly. Cancer-support nonprofits use the products in patient care, with facility space given one day a week for patient treatment. That is verifiable third-party endorsement, which is what earns editorial coverage rather than requiring paid placement.
- Biomimetic before it was a trend. Formulating with ingredients the skin recognizes, decades before the industry adopted the language. Trade editors respond to a defensible claim of precedence far better than to a benefits list.
- Two audiences, not one. Esthetician trade press for the professional channel, and oncology and integrative-care outlets for the clinical niche. The second is less crowded and harder for competitors to enter.
- Write to their standards, not ours. The leading publications require neutral, third-person, product-neutral submissions and reject consumer-brand promotion outright. Forty years of formulation science gives us the substance to meet that bar.
- Lead times are long. Features at some outlets are planned eight to twelve months ahead. Starting the pitch calendar now is what makes placements possible inside this year.

- The brand competes against itself. In US search results the Israeli domain is cited more often than the US domain, with at least two other related domains also picking up citations. An esthetician in Boston searching the brand is as likely to land somewhere other than the US store. Consolidating this is the highest-leverage visibility fix available and costs nothing but agreement.
- There is effectively no US search footprint. Roughly 135 organic keywords against a 40-year-old brand with two manufacturing facilities. Almost any structured effort moves this measurably, which is unusual and worth using.
- Build the content operation that does not exist. US keyword growth is under 1% while the Israeli site grows around 15%. Recent US gains came from existing terms drifting up, not new content earning new rankings.
- Be findable inside AI answers. Estheticians increasingly ask an assistant what to use for a condition. The biomimetic approach and the oncology formulations are exactly the specific, well-substantiated answers those systems surface — but only if content exists to support them.
- Move social from a private group to public content. The current Facebook presence is a members-only group requiring esthetician approval to read. It has real community value and should stay — but nothing in it is discoverable by search engines or AI assistants. A public channel is needed alongside it.
- Deferring this is an advantage, not a delay. Because the data layer runs from Phase 0, this decision gets made against months of real numbers rather than a cold audit.

- The trade publications are the paid channel. Dedicated email blasts to verified licensed-professional lists, publication banner placements, and sponsored educational webinars — small, testable commitments against a precisely qualified audience.
- Sponsored webinars are the highest-value format. Unbranded education positions the brand's expert as a subject-matter authority and produces an opted-in list of licensed professionals at the end. That list feeds Klaviyo, the assistant, and the certification program simultaneously.

- In-person training is the real ceiling on US growth. Today an esthetician must attend a facility or a rented trade-show space to become qualified to carry the line. That caps the addressable market at whoever can travel to wherever the next event happens. Removing it changes the market from a geography into a profession.
- Convert existing sessions into modular video. The training is already being delivered; capturing and segmenting it is the work, not writing curriculum from nothing. Phase 5 builds the upload capability this depends on.
- Watch a module, answer questions, advance. Knowledge checks between sections verify the material landed, preserving the standard behind the certification rather than diluting it.
- Certification becomes the account-opening path. Completing training and passing assessment feeds directly into the approval workflow rebuilt in Phase 1 — one continuous route from discovery to first order.
- The library pays for itself three times. It certifies new accounts, supplies the content Phase 7 needs to rank, and gives Phase 6 the substance trade editors ask for.
- Catherine Hinds is a natural partner here. An institute that already builds training around the line is the obvious collaborator for an accredited online version, and lends the program credibility that cannot be manufactured.

- This is a logistics move with a technical component, not a build. The weight of it sits in contracting, receiving, and physically moving stock into the partner's facility. Our part is narrower: making the store, the shipping rules, and the fulfillment plugin agree with each other.
- The partner is already identified. eFulfillment Service supports WooCommerce through a fulfillment plugin, which removes the largest unknown in this phase — no custom middleware to commission, and no field of providers to evaluate from scratch.
- We have done this integration before. Orders route to the warehouse automatically, tracking comes back to the customer, and stock levels stay accurate without anyone counting. There are steps to work through, but they are known steps rather than open questions.
- Shipping configuration is where the actual work is. Rate calculation, zones, weight and box rules, packaging, and how split or partial shipments present to the customer. Reconciling what the plugin returns with what the store currently promises is the part that takes testing.
- Staged, not wholesale. Everything currently ships from their own facility with a person dedicated to it. A subset of high-velocity products moves first, proving the integration end to end before anything else follows.
- Real-time inventory is the actual prize. Knowing what is in stock at any moment, rather than after someone checks, is what makes the operation scalable — independent of any shipping savings.
- Frees a person from packing boxes. In a US operation of one full-time employee and two part-timers, that is a meaningful share of total capacity returned to selling and supporting accounts.
- The data layer makes the timing decision. Order volume, SKU velocity, and carrying cost are all in one place by then, so this becomes an evidence-based call rather than a judgment one.

- Accounting advice. We can audit what QuickBooks costs and what it is used for, and we can build invoicing. We are not accountants and will not recommend dismantling a general ledger. Their bookkeeper or CPA should be part of that decision.
- Site speed remediation. Phase 3 diagnoses. The fix is scoped once we know what it is.
- Platform replacement. WooCommerce is retained. Noted only for the long view: Shopify extended native B2B to its standard plans in April 2026 and QuickBooks now supports those orders natively, which removes the cost objection that previously ruled it out. A watch item, not a recommendation.
- Direct-to-consumer selling. Not on the table, and it carries real risk to the esthetician channel. Should be a deliberate decision if ever made.
